We are excited to announce our upcoming board elections on March 7, 2022 at 7:30 PM.  Descriptions of the open board positions are below:

President

  • Set board agenda
  • Facilitate monthly board meetings
  • Review club budget
  • Approve invoices for payment
  • Review club insurance
  • Attend league-wide meetings (typically 4x per year)
  • Represent club in matters as it relates to youth sports in North Salem
  • Official bank account and tax related signatory
  • Generate club-wide communication
  • Co-negotiate contracts with club vendors
  • Coordinate winter training and potential camp opportunities
  • Coordinate fundraising opportunities for the Club
  • Assess field safety after weather events
  • Assess disciplinary action for play, coach, and parent misconduct

Vice President Travel

  • Facilitate contract negotiation with training vendors
  • Assess quality of professional coaching and recommend adjustments to coaching
  • Review quality of travel league play; recommend subscription league (WYSL vs EHSL)
  • Prepare team application in GotSoccer
  • Prepare seeding requests and liaise with travel soccer league
  • Review league schedule
  • Coordinate uniform ordering for travel uniforms; negotiate with vendor
  • Collaborate with Registrar for registration and coaching qualifications
  • Collaborate with Field Coordinator on practice and game schedule
  • Resolve scheduling issues
  • Work through coaching scheduling conflicts
  • Communicate with coaches and parents
  • Assess field safety after weather events
  • Assess disciplinary action for play, coach, and parent misconduct

Vice President In-House

  • Coordinate activities of the K-2 program
  • Communicate with parents
  • Resolve issues during practice and game day
  • Collaborate with Registrar on registration for spring and fall season
  • Assess program offering based on community need
  • Assess professional training; coordinate volunteer coaches
  • Facilitate bulk uniform order
  • Coordinate Jamborees with other towns
  • Represent Club at community events

Registrar

  • Set up registration program for In House and Travel leagues
  • Facilitate registration process within community
  • Set up registration in Got Soccer; monitor registration and close teams as they become full
  • Coordinate with travel soccer league for team applications and seeding
  • Ensure proper documentation such as birth certificates and photos are loaded into GotSoccer
  • Ensure coaches are properly credentialed
  • Maintain roster in GotSoccer
  • Monitor rosters in GotSoccer and ensure that they are compliance leading up to game day.
  • Facilitate setup of schedules in TeamSnap

 

Secretary

  • Maintain board meeting minutes
  • Draft club-wide communication
  • Maintain club-wide social media
  • Collaborate with Registrar on promoting registration
  • Maintain and update content of club website
  • Review current website and facilitate upgrade as required by the league and insurance company

Treasurer

  • Oversee club budget
  • Negotiate with merchant account vendors when necessary
  • Prepare monthly accounting and send to 3rd party CPA
  • Facilitate the preparation of the Club’s Annual filing and tax return
  • Manage cash flow
    • Pay club bills
    • Collaborate with Registrar to ensure all monies owed to the club are collected
    • Prepare refunds if necessary
    • Reconcile bank account

Field Coordinator - Travel

  • Collaborate with town on field usage, scheduling, and lining
  • Order field paint
  • Collaborate on club scheduling
  • Enter and maintain field schedule in GotSoccer
  • Coordinate field availability for make up games
  • Assess field safety after weather events; collaborate with town and schools on alternative venues during bad weather
  • Coordinate field lining schedule
  • Maintain insurance forms to provide to venues
  • Negotiate fall field lighting and coordinate the installation and removal of lights
  • Order and replace equipment as necessary; maintain goals

Field Coordinator – In House

  • Set up and remove In-House equipment
  • Maintain equipment
  • Setup and remove fields
  • Collaborate with In-House VP on scheduling
  • Assess field safety after weather events; collaborate with town and schools on alternative venues during bad weather
  • Collaborate with professional coaches during practice and games when necessary

 

Referee Coordinator

  • Recruit pool of referees for In-House and Travel games
  • Coordinate referee training for new referees
  • Liaise with travel league when game referees are uncovered
